New EIM resources aid records management

Since 2011, 512th Airlift Wing reservists have been able to hit the ground running and access the information they need with the help of its Enterprise Information Management system.

EIM has been a widely used internal communications sharing tool for warfighters throughout the Air Force for several years. Its features include the ability for Airmen to collaborate on documents and training plans, maintain schedules, assign job tasks, disseminate news and information and act as a portal for numerous AF-related websites.

As the EIM system continues to evolve, new resources are being added to streamline administrative tasks and assist Liberty Wing members in performing their duties. An example of the latest resource being implemented on the EIM system is the Appointment Letter Management Tool.

The ALMT was developed by the active-duty 436th AW here at Dover Air Force Base, Delaware, to digitize and simplify the production of traditional paper-based appointment letters. ALMT eases the records management process, allows Airmen to customize documents and route them via EIM to the appropriate officials for signature. The finalized letters created and digitally signed in ALMT are completely shareable and virtually inspectable.

"The ALMT is the new identity of traditional appointment letters," said Senior Master Sgt. Anthony Harris, 512th AW's EIM project officer. "With this tool, there's no longer a need for commanders and functional leadership to sign a surplus of hard copy appointment letters, when events like changes of command or personnel movements occur."

On March 13, 2015, the ALMT will be fully implemented for all 512th AW members. Until then, wing knowledge management specialists from the 512th Squadron Communications Operations flight are providing monthly ALMT training sessions for functional program managers, administrative personnel and commanders supports staff representatives.

To assist in the transition to the digital ALMT on EIM, the 512th SCO flight have added over 200 appointment letter templates that can be customized accordingly. These templates range from the appointment of equipment custodians, unit fitness program managers, to information assurance officers. 

According to Harris, the template creation process and training provided by the 512th SCO flight would not have been possible without the support from the 436th Knowledge Management cell.

"The need for additional advanced training to allow reservists to properly handle EIM issues and requests from our 512th AW members became more apparent while working closely with the 436th  Knowledge Managers," said Harris.

The 436th AW offered two advanced EIM site administration class slots to 512 KMs, which saved the wing over $3,800 in training allocations, said Harris. He added the training was equivalent to an advanced semester course and gave reserve KMs the ability to maintain 512th AW EIM sites as well administer resources like the ALMT.

The 512th SCO flight is providing ALMT and EIM refresher training through March 2015. Information regarding the specific dates, times and locations of the training will be placed on the 512 AW events calendar, which is on the wing's EIM home page.
